How the service works
1. Tell us what you need. Share a few details via the contact page. 2. Agree the scope. We’ll explain the recommended approach, what’s included and any third-party costs. 3. Build or resolve. Work is carried out to the agreed scope and availability. 4. Ongoing care, if wanted. Managed hosting and maintenance are optional and described separately in your quotation.
Service conditions & important information
The following explains RealmLabs’ general approach to services. Your individual quotation or service agreement will confirm the exact scope, pricing, payment schedule and any additional conditions. These notes are not a substitute for a project-specific agreement or statutory rights.
1. Quotations & project scope
All work is subject to an agreed written quotation or statement of work. The quote will identify deliverables, estimated timescales, what the customer needs to supply and anything excluded. Work outside the agreed scope, including additional pages, significant redesigns, specialist integrations and extra revisions, will be quoted separately before proceeding.
2. Deposits & payment
A deposit or staged payment may be required for website projects, as stated in the quotation. Final payment terms and any recurring charges will be agreed before work starts. Third-party services, premium themes, software licences, email services or other external costs will be identified where applicable.
3. Domain & website ownership
Where RealmLabs registers a domain for a customer, the customer should be named as its registrant and retain ownership, subject to the registrar’s rules. Ownership and licence rights to website design, content and third-party components will be set out in the project agreement. On departure, RealmLabs can assist with transferring the domain and supplying an export of the website, subject to applicable licences, settlement of agreed charges and reasonable migration arrangements.
4. Managed hosting & renewals
Managed hosting is supplied through a third-party commercial hosting provider, selected according to the site’s requirements. Any included domain renewal, hosting allowance, SSL, backups and management services will be specified in the plan. Renewal dates, billing cycle and any price changes will be communicated according to the service agreement. Customer websites are not promised unlimited storage, traffic or resources.
5. Maintenance & backups
Routine technical care may include WordPress updates, plugin checks, monitoring and backups, as set out in the selected plan. Maintenance does not automatically include unlimited content editing, new features, paid plugin renewals, malware recovery or major redesigns. Backups reduce risk but cannot guarantee zero data loss; any backup frequency, retention and restoration arrangements will be confirmed in writing.
6. Support & availability
RealmLabs operates by appointment alongside other professional commitments. Response and delivery times depend on availability and any service level expressly agreed. Unless specifically included in writing, services do not provide 24/7 monitoring, guaranteed response times or emergency callouts. On-site work is arranged in advance and may involve additional travel costs.
7. Customer responsibilities
Customers are responsible for providing accurate material and obtaining rights to use their text, images, logos and other content. Customers remain responsible for approving website copy, checking their own legal or regulatory notices and maintaining access to necessary accounts. RealmLabs can help with technical setup but does not automatically provide legal, compliance or professional cybersecurity certification services.
8. Cancellation, expiry & handover
Cancellation and renewal arrangements—including applicable notice periods—will be agreed before purchase. Where a service ends, an orderly handover or migration can be arranged. Any work needed to move websites, mailboxes or data beyond the included handover may be separately quoted. Nothing in these conditions removes applicable statutory cancellation or consumer rights.
9. Third-party services & security
Domains, hosting, software, email and other external platforms remain subject to their respective providers’ terms. Reasonable technical precautions are taken, but no website or IT service can be guaranteed completely secure or uninterrupted. Where personal data is processed on behalf of a business, suitable data-processing terms may be required.
